TERMS & CONDITIONS
Please ensure that you read and understand the following terms and conditions in full before proceeding with your booking. If you have any difficulty understanding them or have any questions, please contact us and Minibus Hire for London will be happy to help.
When enquiring for a quote from Minibus Hire for London, and our associated trading names; all quotes are accurate at the time given but are subject to change at any time up until a deposit has been paid. A binding contract will be formed as soon as a deposit or the full amount for a booking has been paid by the customer. By requesting that we (Minibus Hire for London) confirm your booking, you are accepting the terms of this agreement:
You, the customer, shall be held responsible for the full payment of the booking, along with ensuring that all passengers abide by Minibus Hire for London’s terms and conditions. You are to be held responsible for your party’s behaviour and must ensure that all passengers abide to the following terms:
1. All passengers maintain a high standard of behaviour throughout your journeys and adhere to the driver’s instructions.
2. All passengers are at their pickup addresses at the times agreed during the booking process. Any delays caused by any late passengers may incur a charge, depending on the driver’s discrepancy.
3. Respect the rules set out by the coach operator. Please check with the driver if food and/or drink can be consumed on the vehicle(s).
4. Smoking on any coach or minibus is strictly prohibited.
5. You must ensure that your coach/minibus is large enough to carry any luggage that you may have. Trailers may be available but at an extra charge.
6. Whilst Minibus Hire for London will take every possible step to ensure the security of your belongings, it is ultimately your responsibility. Minibus Hire for London accepts no responsibility for any loss, damage or theft of any luggage or belongings.
7. No animals are permitted on the coaches or minibuses unless written consent has been granted from either the coach operator or Minibus Hire for London.
8. The route taken for your journey is to be determined by the driver unless otherwise agreed prior to booking the coach / minibus.
9. The customer will be given an emergency phone number for both Minibus Hire for London, and the specific driver(s) of your vehicle(s). Please ensure that you have these contact details to hand on the date of travel in case of any problems.
TERMS OF Minibus Hire for London PRICING:
All prices quoted are accurate at the time of quotation. Prices are subject to change prior to the customer securing the booking with a deposit. All prices given are inclusive of VAT, charged at 20%, and there are no hidden booking or administration fees to add on.
Additional prices may be payable if the driver(s) has to stay overnight. Such prices may include the drivers’ accommodation, meals, parking fees, any road tolls, and VAT. Minibus Hire for London can arrange the drivers’ accommodation for you, although you may find it cheaper to arrange this yourself. It is the customer’s responsibility to decide which option they would prefer and to inform Minibus Hire for London at the time of booking.
Other charges that may be applicable to the customer include extra mileage for any pick-ups or drop-offs which were not confirmed at the time of booking. Any such charges will be the responsibility of the customer that made the booking with Minibus Hire for London. Additional charges incurred on the day of travel such as extra mileage or damage to the coach, for example, will be directly payable to the coach driver / operator.
PAYMENT POLICY:
It is you, the customer that is responsible to ensure that the full payment of the booking is paid in time; up to a maximum of 14 days before the date of travel. A deposit will be taken in order to secure your booking, and this will be deducted from the final price you have been quoted by Minibus Hire for London. If the customer refuses or is unable to pay the remainder of the booking, the customer will be directly liable for the outstanding balance.
For bookings made on coaches and minibuses with the date of travel being in less than 14 days, the full amount will often be required upfront in order to secure your vehicle. However, some coach operators may accept the majority of the payment in cash on the day of travel. In such cases, a deposit made payable by debit or credit card will still be required to secure the vehicle. If the customer does not turn up for the coach or refuse to pay the remainder of the balance in cash on the day, the customer (you) will be liable for the full payment of the booking.
It is the customer’s responsibility to ensure that the full payment of the booking is paid within the allotted time limit. If the customer pays the remainder of the balance later than the specified date, the availability of their coach or minibuses may be jeopardised. In such cases, Minibus Hire for London will make all efforts to find a similar vehicle for the same price. However, this cannot be guaranteed due to the different operators’ prices. Any increase in price will again have to be paid by you, the customer.
If full payment is not received within the specified time, Minibus Hire for London reserves the right to cancel the vehicle(s), with cancellation charges being applied accordingly.
CANCELLATION CHARGES:
If you, or a member of your party, cancel a booking at any time your deposit will not be refunded. You may also be liable for part or all of the outstanding balance. Minibus Hire for London will always endeavour to minimise such charges, working closely with the coach operators in order to rebook any cancelled vehicles. Below is a structure of the cancellation charges that you, the customer will be liable for if you cancel your booking:

Any services organised by Minibus Hire for London for your booking (such as driver’s accommodation, meals, ferry crossings, euro tunnel) will not be refunded under any circumstances if the customer cancels the booking.
In the case of one of our coach operators cancelling its contract with Minibus Hire for London, we will do our best to find a similar replacement coach / minibus of equal or increased size and specification. We will attempt to keep any extra costs to an absolute minimum. If the customer does not wish to proceed with the new coach, a full refund will be offered. Minibus Hire for London will not be responsible should an operator cancel your coach. Any further issues regarding the cancellation of your coach by the coach operator will be between the coach operator themselves and the customer.
COMPLAINTS AND PROBLEMS WITH BOOKINGS:
You, the customer will receive a confirmation email of your booking following the payment of the deposit / full payment of the booking. The confirmation email will include the full itinerary of the booking. It is the customer’s responsibility to ensure that all details are correct. If there are any errors in the itinerary, it is the customer’s responsibility to contact Minibus Hire for London within 48 hours in order to amend the details. If the customer does not contact Minibus Hire for London regarding any such problems, Minibus Hire for London will not be responsible for any incorrect instructions passed on to the operator.
Amendments can be made on your booking; however they will incur a charge. Charges may vary depending on the coach operator. Below is a list of amendment charges that you should expect to pay should you need Minibus Hire for London to change your booking.

Minibus Hire for London will endeavour to resolve any complaints directly with the customer. If compensation is requested, and the issues are no direct fault of Minibus Hire for London, the customer will be put in touch with the coach operator in order to solve the dispute.
FORCE MAJEURE:
Minibus Hire for London will not be held responsible for any financial or personal loss to the customer or members of their party in the occasion of events beyond our control, including mechanical failure of the coaches or minibuses. Examples of such events include (but are not restricted to) vehicle breakdown, severe weather conditions, threat of terrorism, natural disasters (eg earthquakes, volcanoes), traffic congestion, war, strikes and industrial disputes, unforeseen accidents and emergency situations. Such events may have an effect on your booking prior to the booking period or indeed during the booking period. It is the coach operator’s responsibility to inform you of any such issues as soon as they arise.
